POLICIES & PROCEDURES
REGISTRATION PROCEDURE
New and returning students must register online through the customer portal. Policies must be electronically accepted before students are enrolled in classes. All accounts must have a credit card or checking account on file. Once registered, your placement on the class roster is reserved for the entire session.
PAYMENT POLICY
All families must have a saved credit card or checking account for payment. If you prefer to pay cash or with a physical check, your payment must be received during the week of the second and third cycles. If payment is not received within seven days of the billing cycle, a $10 late fee will be applied. Accounts with unpaid balances will not be eligible for re-enrollment until balances are paid. A $25 service charge will be applied to any check or charge returned as insufficient. Enrollment will be reconsidered if balance goes unpaid.
Payments are processed according to program type:
Recreational Programs: Tuition is billed on a 12-week session cycle:
- First payment at registration
- Second payment at week 5
- Third payment at week 9
Team Programs: Payments are due on the 5th of each month. Autopay will run on the 5th (or the following business day if it falls on a weekend).
By enrolling, you agree that:
- All payment information provided is accurate and valid.
- You are responsible for tuition until proper written notice of withdrawal is submitted.
- A written notice is required to terminate billing.
- Disputed charges may result in fees, collections, and/or termination of services.
ATTIRE POLICY - WHAT TO WEAR
- Girls: Leotards are recommended. T-shirts and shorts may be worn but must be tucked in.
- Boys: T-shirts and shorts (tucked in).
- Hair: Must be neatly secured away from the face. Please avoid bows or large hair accessories.
- No: Gum, jewelry, watches, or accessories. Jewelry should be left at home. The gym is not responsible for lost or stolen items.
- Footwear: Bare feet or gymnastics shoes only.
MAKE-UP POLICY
JC Gymnastics understands there will be times you are unable to attend class, Please let us know as soon as you can by email or through your account on the Parent Portal. Excused absences may be made up using makeup tokens. Makeup classes must be scheduled in advance and are subject to availability. Makeup tokens will not be issued if there is a balance owed on the account.
ARRIVAL & PICKUP
Arrive no earlier than 5 minutes before class and please pick up your gymnast promptly after class. Notify the office if you will be more than 10 minutes late. Students must wait inside the gym until escorted to their car. Drive slowly and cautiously in the parking lot. Children may be present. **TEAMS please enter through the side doors/locker room area.
As a reminder, please keep children off the mats and equipment when not in class.
DROP POLICY
To withdraw from a class, parents must submit written notice through the Parent Portal, email, regular mail, or by hand-delivery at the front desk. A verbal notice from your gymnast will not be accepted. A $25 administrative fee will be charged if dropping occurs in the middle of a billing cycle. Families are responsible for all tuition charges until official written notice is received. If a gymnast stops attending without notice, the account will be charged an additional 30 days of tuition to hold their spot.
HEALTH POLICY
If your child is sick, please do not send them to class for the safety of other students and staff. If they are showing signs of illness, including a cough, we will kindly send them out of class to be sent home with a parent or guardian.
PHOTOGRAPHY POLICY
At JC Gymnastics, we understand that parents love capturing special moments of their children’s achievements. To ensure the privacy and safety of all participants, we ask that parents follow these guidelines when taking and sharing photos:
- Personal Photos: Parents are welcome to take photos of their own children during classes or events.
- Respecting Privacy: If you plan to share or post photos publicly (e.g., on social media), please blur or cover the faces of any other children who may appear in the background, unless you have obtained permission from their parents.
- No flash photography
By following these guidelines, we can maintain a safe and respectful environment for all families. Thank you for your understanding and cooperation.
